1. About Us
The Embassy of Japan in Malta is seeking a highly motivated individual to join our team as a Clerk. This position offers a unique opportunity to contribute to diplomatic relations between Japan and Malta.2. Responsibilities
(1) Primary Responsibilities: Research and Report Writing- Conduct research on specific issues on Politics, Economics, Foreign Relations, and Social Issues, to support the Embassy’s decision-making processes.
- Monthly report on the Maltese Political Affairs, Economic Affairs and Foreign Relation and Social and Cultural Affairs etc. based on the news articles.
- Attend meetings and submit pre-/post- meeting reports.
(2) Alternate Responsibilities: Secretarial Work/Protocol
- Schedule management and coordination for appointments for the Head of Mission as well as other diplomats with the Maltese government, private sector, academic institutions, and other stakeholders.
- Correspondence with the relevant organisations by email or phone.
- Draft letters and Note Verbales.
- Provide administrative support to the Head of Mission.
- Management of contacts list for the Embassy.
(3) Alternate Responsibilities: Public Relations & Cultural Affairs
- Plan, execute and follow up on public relations and cultural affairs initiatives, including event planning/management.
- Foster friendly relations between Japan and Malta through cultural exchange.
- Daily correspondence with the relevant organisations by email or phone.
- Attend meetings and submit pre-/post- meeting reports.
- Assist in managing Embassy’s social media accounts and Embassy website.
(4) Others
- Any other task deemed necessary for the operation of the Embassy of Japan in Malta and the strengthening of the bilateral relations e.g., assistance on reception planning/management.
3. Eligibility
(1) A Maltese national, or any other national holding an appropriate work permit by himself/herself in the relevant field, and who demonstrates both the willingness and the capacity to contribute to the Embassy of Japan over the long term.(2) Preferably holds a university degree or equivalent, ideally in Politics, Economics, Law, International Relations, Social Sciences, or Public Policy, though other fields may also be considered.
(3) Has a strong interest in Japan.
(4) Familiar with Maltese politics, economy, foreign relations, culture, and society.
(5) Has a clean criminal record. *If you are selected for the position, you will be required to submit a certificate of no criminal record.
4. Skills and Competencies required for an ideal candidate.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Research and analytical skills.
- Ability to work independently and collaboratively within a team.
- Proficiency in English and Maltese; knowledge of Japanese is a plus.
5. Salary and Benefits
- Salary: Approximately €2,000 to €2,700 gross per month (The salary will be determined within a defined range based on the candidate’s experience; salary increases in accordance with local laws).
- Overtime allowance, statutory bonuses and cost of living adjustments according to the law.
- Annual paid leave: 24 days (excluding sick leave)
- Holiday (Embassy closure): Combination of Japanese and Maltese national holidays
6. Important Notes
- Working Days and Hours: Monday to Friday, 9:00–17:45; full-time 38.75 hours per week *Flextime is not introduced.
- Workplace: The Embassy of Japan in Malta (Sliema) *Remote work is not introduced.
- Probationary Period: Four months
- Term of Employment: Fixed-term basis, with the contract renewed annually based on performance evaluations; from the fifth year onward, it becomes indefinite-term employment.
